How to Set Up Automated Outreach

Automated outreach lets you send multi-step email campaigns to your leads without manual follow-up. This guide covers creating sequences, writing templates, and configuring automation rules.

Step 1: Create a new email sequence

Go to Outreach > Email Sequences and click New Sequence. Give it a descriptive name like "Outreach — dentists in Austin."

Step 2: Write your first email template

Click Add Step to create Step 1. Write a compelling subject line and body. Use merge tags to personalize:

  • {{business_name}} — the company name
  • {{website}} — their website URL
  • {{audit_score}} — their SEO audit score
  • {{city}} — their city
  • {{owner_name}} — the owner's name (if enriched)

Step 3: Add follow-up steps

Add Step 2 with a 3-day delay, Step 3 with a 5-day delay after that. Each follow-up should take a different angle — share a specific audit finding, offer a free consultation, or include a case study.

Step 4: Configure automation rules

Go to Automations to set rules like:

  • Automatically enroll new leads with a score above 60
  • Stop the sequence when a lead replies
  • Move leads to "Interested" stage when they open 2+ emails

Step 5: Enroll leads

From any search result page, select the leads you want to contact and click Add to Sequence. Choose your sequence and confirm. Emails will send according to your configured delays.

Step 6: Monitor and optimize

Check sequence performance from the Sequences dashboard. Track open rates, reply rates, and bounce rates. Pause underperforming sequences and A/B test subject lines to improve results.

Tip: Keep your first email under 150 words. Mention one specific problem you found and offer a quick win. Save the detailed pitch for follow-ups.

Expected outcome

A well-crafted 3-step sequence typically achieves 40-60% open rates and 5-15% reply rates. Automation ensures no lead falls through the cracks.
